Booking Terms & Conditions - West Canada & Alaska Tours

Non-refundable deposit
Most adventure vacations have limited space and any cancellation can greatly affect the operation of the trip, so we regret deposits are strictly non-refundable. For this reason we strongly recommend you take out cancellation insurance (see below.)

Balance due 60 days out
The balance is due 60 days before departure and is payable online using our secure payment service FastPay or by cheque. For bookings within 60 days of departure, the balance must be received by us within 7 days of your deposit. Failure to pay by a due date may lead to cancellation of booking.

Exceptions to deposit and when balance due
For a very few higher priced journeys the operators we use require a slightly higher deposit or the balance a little earlier. We will advise you on booking if this applies.

Price, date, itinerary may vary
These are all set many months in advance and we reserve the right to adjust these for any reason -- though we will obviously do our best to avoid this. We cannot be responsible for any loss, costs or damages as a result of these changes.

Fee for changes
Changes made by you to your booking will incur an amendment fee of £25 per person per change. Cancellation fees may also apply.

Cancellation
If you have to cancel your trip the following fees apply depending on when we receive your written notice: a) More than 70 days before departure : loss of deposit; b) Less than 70 days before departure : full cost of trip. Depending on your reason for cancellation these charges may be recoverable on your insurance policy.

In the unlikely event of the operator cancelling your tour we will offer alternative arrangements. If these are not acceptable to you we will refund all your monies but will not be liable for any other losses incurred.

Liability release & medical forms must be signed and returned with balance 70 days prior
In your pre-departure package you will get a medical-health questionnaire and a liability release form. The purpose of the former is to get essential information on your health and your food preferences. The latter is to release us and our contracted operators from all liabilities whatsoever in connection with the adventure vacation you have purchased. These forms are essential for safety and legal reasons and must be returned signed by each participant when the balance is due. If we do not have these forms signed in our possession at that time we reserve the right to cancel your reservation without refund.

(Occasionally, an operator may ask you to sign a second liability release form when you arrive for your trip. This is because the operator's insurers insist on their own wording and not ours. We regret this inconvenience but you will have to sign this form too if you want to take part in the trip.)

Not included in Price
Each trip is slightly different and you should check with your travel planner or study the trip dossier, but generally these are not included: travel to the departure point, airfares (except when stated), passport and visa fees, travel insurance, excess baggage charges, airport departure and other taxes (see below), gratuities, extra meals, laundry, alcoholic drinks, optional tours, and any items of a personal nature.

Taxes
All Canadian trips are subject to a 7% Goods and Services Tax (GST) which we are bound to collect when you pay the balance on your trip. Visitors to Canada should get a leaflet from Canada Customs when they enter the country, telling them how to reclaim all or part of this tax after they return home. We regret we can play no part in your dealings with the government to reclaim this tax.

Insurance
All participants are strongly advised to take out adequate medical cover and cancellation insurance when paying a deposit -- either from us or a travel agent. We have very competitive policies available and will be happy to give you a quotation.

Participation not a right
We reserve the right to refuse a booking for any reason. In certain circumstances we may ask for a doctor's letter before making a decision. Once on a trip the senior guide's decision on continued participation is final.

 

Self-drive tours include all accommodation, detailed itinerary, transfers and rail/ferry/plane tickets where applicable.  Car rental is arranged separately to ensure you get the best deal.  Some tours include pre-booked excursions.  See individual tour information for full details.
